This policy explains which personal data are processed when you use the tropical-hotel.be website, why, how long they are kept and which rights you may exercise.

Two useful clarifications. No payment is taken on this site: a booking is a request sent to the hotel by e-mail, and no banking data are collected. This site also runs no newsletter, and your contact details are not used for commercial prospecting.
3. Cookies and trackers
On your first visit, a banner lets you accept or refuse, category by category. No measurement or advertising cookie is placed before you agree. You may change your mind at any time: manage my cookies.

If you refuse, Google’s tools operate in “cookieless” mode: they receive an anonymous signal stating that consent was not given, and no identifier is stored on your device.
4. Who has access to your data
Your data are never sold, rented or exchanged. They are accessible to the hotel staff who need them, and to the following providers, acting as processors under contract:
- Hetzner Online GmbH (Gunzenhausen, Germany) — hosting of the site and its database
- Webedia SRL (Brussels, Belgium) — technical maintenance of the site
- Google Ireland Limited — audience measurement (Analytics) and advertising (Ads), only with your consent
- Typeform SL (Barcelona, Spain) — contact form
Your data may also be disclosed to the authorities where a legal obligation requires it.
5. Transfers outside the European Union
Hosting and the database remain in Germany, therefore within the European Union. Google and Microsoft, however, may transfer certain data to the United States. Those transfers rely on the EU-U.S. Data Privacy Framework and, failing that, on the standard contractual clauses adopted by the European Commission.
6. Your rights
You have the following rights: access to your data, rectification, erasure, restriction of processing, portability, objection, and withdrawal of your consent at any time where processing relies on it.
One limit worth knowing about erasure. Data attached to a booking relate to an invoice and fall under Belgian accounting retention rules. While that period runs we cannot delete them, even at your request — Article 17.3.b GDPR expressly provides for this exception. They are deleted once the period has elapsed. Your other rights remain fully exercisable throughout.
To exercise a right, write to info@tropical-hotel.be stating your request. Proof of identity may be requested, solely to prevent a third party from accessing your data. We reply within one month.
7. Complaint to the supervisory authority
If you consider that your rights are not being respected, you may lodge a complaint with the Belgian Data Protection Authority:

8. Security
The site is served over HTTPS only, administration access is restricted to authorised persons, the database is backed up regularly, and the IP addresses recorded in consent proofs are truncated, which makes them non-identifying.
No transmission over the Internet is entirely infallible: we apply proportionate measures without being able to guarantee absolute security.
9. Links to other sites
This site may link to third-party sites whose content and practices are beyond our control. We invite you to consult their own privacy policies.
10. Changes
This policy may be amended, in particular if the processing evolves. The date of the last update appears at the top of the page. Should a substantial change affect your data, your consent will be sought again.
